5 benefits of getting a head start on year-end forms

Year-end forms go better when the work starts before January. For 2026, W-2s are due to employees and the SSA on February 1, 2027, and the new W-2 boxes for tips, overtime, and Trump account contributions add setup work that is easier to handle in October than in January.

Here are five benefits of getting a head start on year-end forms, for employers and employees.

Why should employers start year-end forms early?

The short answer

Starting early gives you time to verify SSNs and TINs, collect electronic consents, and fix errors before the February 1, 2027 deadline. It also avoids rush costs and spreads the work across your team instead of compressing it into January.

1. Lower filing costs

Rush orders and expedited shipping cost more than the same work done on a normal timeline. Ordering forms and submitting print and mail requests early keeps those costs out of your year-end budget.

It also keeps you from paying for mistakes. Corrections filed after the deadline can mean penalties, and a team that isn't rushing makes fewer of them.

2. Resource allocation

Starting early lets you spread the workload across weeks instead of days. That reduces the risk of burnout and keeps your team available for other HR and payroll work.

Build a plan now and assign each task to a named owner. Leave extra time for the work that tends to run long: reviewing complex payroll records, resolving employee questions, and confirming that your payroll setup supports the new 2026 W-2 boxes (box 12 codes TP, TT, and TA, and box 14b). 3. Compliance assurance

Without a deadline pressing on every step, your team can review each detail, starting with employee names, Social Security numbers (SSNs), and vendor Taxpayer Identification Numbers (TINs). Reconcile your payroll totals against your Form 941s while you're at it. (How Forms 941 and W-2 relate to each other)

Greenshades has been handling year-end forms for years. Through our partnership with Mekorma, we offer Same-Day verification and year-round TIN verification services, so name and number mismatches surface before filing instead of after a rejection.

4. Capture last-minute information

Employees have to consent before you can deliver W-2s and 1099s electronically, so ask early. Electronic delivery is the fastest and least expensive way to get forms to people, and it avoids postal delays.

Ask employees to update their personal information in Q4: legal name, mailing address, and contact details. A form generated with an old address or a misspelled name is a correction waiting to happen.

5. Early access for employees

Employees who can get their forms sooner can file their returns sooner. Employee self-service gives them a place to view their W-2s without waiting on the mail, which also cuts down on "where is my W-2?" requests to your team.

Start year-end forms now

An early start lowers rush costs, spreads the workload, catches errors while they're still easy to fix, and gets forms to employees sooner. With W-2 season and 1099 filing close, the time to start is before the calendar makes the decision for you.
