Order print and mail by January 15, 2027 to lock in standard rates. Rates rise after that, and orders received after January 23 may not be processed in time for the February 1 furnishing deadline.

Filing questions, answered

Each fee covers a different step in the process, and we itemize them so you can see what you're paying for and only buy what you'll use. 

Greenshades can create state W-2 and 1095 returns and local W-2 returns automatically when your data calls for them. State 1095 returns are available for CA, DC, MA, NJ, and RI.

You download and file them directly with each agency, and local returns are available only where the municipality supports electronic filing.

The rate is set by the size of a single batch, which is one submission, typically one form type (such as W-2s or 1099s) for one company. Each company or entity submits its own batch at its own volume tier, and corrections or additional forms are priced as separate batches. For the best rate, submit as much as you can together in one batch per company.

Demand for print and mail spikes as the filing deadlines get closer. To handle it, we bring on more staff and equipment, which raises our costs. 

Access to your year-end forms data is valuable to you and to your employees. It's the record you'll need for audits, corrections, or resubmissions, and having it available for 7 years means you aren't chasing it down later. Archiving is optional, but we recommend it and it's included by default.
